We are seeking a well qualified individual for a position which entails legal secretary, paralegal, and general office services duties as follows:
Legal Secretary: 60%
Prepares and processes correspondence and legal documents. Proofreads documents and checks for appropriate formatting, spelling and grammar. Regularly updates client files, notebooks and pleading indices. Maintains and updates calendars and docketing deadlines for assigned attorneys. Prepares and files documents following local rules and judge-specific requirements. Receives and screens phone calls and takes messages as required. Reviews and routes incoming and outgoing mail, fax communications, and messenger services. Maintains and updates contact names and addresses in the contact databases. Prepares daily time entries for assigned attorneys. Coordinates travel arrangements, prepares itineraries, and prepares travel expense reports. Prepares expense reimbursement and disbursement/check requests.
Paralegal: 30%
Prepares subpoenas for third party records, FOIA requests, and obtains appropriate records. Prepares documents for production including bates labeling and redacting for privileged and confidential information. Conducts litigation, criminal, and civil background checks and obtains properly authenticated records as needed. Prepares key document notebooks, motion notebooks, master chronologies, master cast of characters, deposition notebooks and identification of deposition exhibits.
General Office Services: 10%
Receives and directs clients and visitors and general office duties.
Requirements:
Job Requirements:
Minimum three years experience as both a Litigation Secretary and Paralegal is required (candidates without paralegal experience will not be considered);
Strong proficiency in the use of MS Office 2007 (including Outlook, Word, Excel and PowerPoint), document management systems, time entry, and e-filing;
Ability to type accurately and efficiently (including from dictation) with a minimum of 75 WPM;
Thorough knowledge of state and federal court filing rules;
Employment law experience preferred, but not required for the right candidate; and
Ability to work overtime as needed.
